Workflow

Workflow diagram - Process of authoring and approving content via a single or secondary level submission. Content approved is then deployed from the staging server to the live production server.

The workflow is a system process that allows content to be managed and published through a predefined approval route. Workflow can be mapped to existing authoring and approval business processes that exist within an organisation or department, therefore automating the creation, review and publication of your content.

The workflow is fully integrated with the LDAP source to allow groups and users to be set the correct permissions on the right content available to them. Whilst multiple review and approval steps can be added to the workflow, having too many can cause (and almost always does) a bottleneck in the publication of content in a timely manner.

We always recommend adopting a simple two-stage workflow process for the key creation and review/approval steps, and having other review stages carried out within your existing business processes, but outside of the system. All workflow steps generate a targeted email to the right person detailing the task/action and creating a link from the email directly to the content that needs their action.

The workflow engine also integrates with the content expiry and archiving functionality.
